Job Description

Job Purpose:
We are seeking a dedicated and enthusiastic CSR to join our team. In this role, you will receive (by telephone) requests for quotations, orders, and lead times from customers. You will make quotations on standard items, writes orders, and relay pertinent order information to customers. You will coordinate with other departments in handling purchase orders and providing service to customers. Will also work with the collection department on customer contacts. The ideal candidate will possess strong communication skills and passion for helping others.

Key Responsibilities and Accountabilities:
Receives telephone requests for price quotations, purchase orders, order changes, adjustments, and cancellations directly from customers and distributors. Achieves and maintains rapport with customers and works to give them the best possible service.
Uses database system to retrieve customer information, stock status information, the status of purchase orders, and to make changes on customer purchase orders. Ensures that correct codes are used for retrieving and inputting information.
Follows up on inquiries by checking delivery information.
Handles the needs of sales representatives and customers by area.
Makes price quotations immediately by phone on price book items. Prepares forms for price quotations on items not contained in price book and forwards to Sales Assistant for preparation of quotations.
Checks with credit department concerning credit status of customers.
Handles Returns Return Labels / Record Returned Items / Account Adjustments
Contacts distributors or checks computer printouts sent to us by customers to locate requested items in order to meet customer's delivery requirements. Relays this information to customer.
Maintains files of customer accounts, active orders and posts activity such as change notices, scheduling changes, partial shipments, and credit changes.
Prepares paperwork (original purchase order, copies of invoice, and return goods memo) to be given to accounting department for credit or debit to be issued.
May perform other duties as assigned by management.

Job Requirements

Experience:
- Previous experience in a customer service environment is preferred.
- Strong verbal and written communication skills
- Proficient in data entry with attention to detail to ensure accuracy in records.
- Ability to analyze situations effectively and provide appropriate solutions to customers.
- A friendly demeanor with strong commitment to delivering excellent customer service.
